The Sales Operations Executive acts as a key operations coordinator, working closely with multiple departments to ensure sales activities run smoothly
and in line with company processes.
- Prepare, update, and manage documents, notices, and reports related to sales activities based on available templates or actual business needs
- Review operational contract terms (scope of work, timelines, payment terms) and coordinate internal approvals according to procedures
- Receive, check, and process sales orders from the Sales team
- Track orders end-to-end (order creation – production – warehouse release – delivery) to ensure timelines are met as committed
- Coordinate with Warehouse and Logistics teams to ensure on-time delivery
- Consolidate and handle settlement of costs related to sales operations
- Manage and archive documents and records (contracts, acceptance minutes, related documents, etc.) in compliance with regulations
- Receive, review, and process correspondence and official documents for the Sales department
- Arrange and coordinate vehicle schedules for drivers based on operational plans and business needs
- Monitor and support the resolution of any issues arising during order and project execution
- Calculate and reconcile trade discounts for Dealers/Agents in accordance with company policies
- Calculate sales incentives and bonuses for the Sales team based on current regulations
- Work closely with relevant departments (Sales, Finance & Accounting, etc.) to ensure data accuracy and timely completion
- Update, store, and manage customer, contract, and order data in the system
- Track and consolidate business performance indicators to support sales effectiveness evaluation
- Prepare periodic sales and collection reports (weekly / monthly / quarterly / yearly)
- Perform other operational tasks as assigned by the line manager.
- At least 2 years of experience in Sales Operations / Sales Admin / Commercial Operations or equivalent roles
- Hands-on experience in calculating trade discounts for Dealers/Agents and sales incentives/bonuses for Sales teams
- Strong Excel skills, comfortable with reporting and data processing; good data sense
- Proficient in Microsoft Office; experience with CRM/ERP systems is a plus
- Detail-oriented, logical, and accurate when working with numbers
- Able to handle both operational/administrative tasks and reporting & calculations
- Proactive, responsible, and able to work well with multiple stakeholders
- Good communication skills; strong time and task management
- Good English reading and writing skills
